As your Knowledge Base grows, members need more than a well-organized list of articles. They need an easy way to follow a topic—without sorting through content that does not apply to them.
Article Tags help you connect related Knowledge Base and Guide content around a feature, release, troubleshooting issue, or learning path. Members can browse that topic, filter the results, or follow the tag for new and updated content.
For example, you could tag a release note, a setup article, a troubleshooting guide, and a product video with the same feature tag—without moving those articles to a different Knowledge Base or category. With Scoped Tagging, you can also control where that tag is available so members see topics that make sense for their Knowledge Base, category, or subcommunity.
Quick TL;DR
- Add tags while creating or editing an article.
- Give members a topic-based path to related articles.
- Use Scoped Tagging to keep tags relevant to specific Knowledge Bases, categories, or subcommunities.
- Let members follow the topics they care about and choose how they receive updates.
- Set sensible notification defaults without taking control away from members.
- If you use an existing custom article layout, add the Article Tags asset before expecting tags to appear.
Add a tag to an article
Start with the articles you want members to discover together.
- Open the article editor.
- Create an article or edit an existing article.
- Add one or more tags in the article's tag field.
- Save, schedule, or publish the article.
Once the article is published, the tag can be displayed on its article page.
Help members explore a topic
When tags are displayed on an article, members can select a tag to open its tag card. From there, they can browse other content that uses the same tag and open the tagged article list.
Depending on how the tag is used in your community, the tag card can show counts for posts, groups, and articles. The article list can include content across Knowledge Bases, with filters for all content, featured articles, or Knowledge Bases the member follows.
Members can also sort the list by recently created, alphabetical, reverse alphabetical, or recently updated. Tag and content filters persist in the URL, so a filtered view can be bookmarked, shared, or used as a landing page for a topic.
Let members follow the topics they care about
Following a tag is useful when members want to keep up with a topic over time.
- Open a tag card.
- Select Follow this tag.
- Review or adjust notification preferences if prompted.
Members can manage followed tags from Followed Content in their profile. The bell control lets them adjust notification behavior for an individual tag.
Article Tagging adds notification choices for new and updated articles. Members can choose popup and email notifications and change their preferences later from their profile.
This gives members a way to stay current on the topics they care about without subscribing to every article or Knowledge Base update. They can adjust notification behavior for an individual tag using the bell control, and change their preferences later from their profile.
Admins can also set default notification preferences for article-tag activity. These defaults apply to new users and existing users who have not customized the preference, so you can establish a useful starting point while leaving members in control of their own notification volume.
A note about custom article layouts
The default article layout displays article tags. If your Knowledge Base or Guide uses an existing custom article layout, you need to add the Article Tags asset before tags will appear on that layout.
To add the asset:
- Open the Layout Editor.
- Open the Knowledge Base article page or Guide article page layout.
- Add the Article Tags asset.
- Position and style it to fit your page design.
- Save the layout.
The asset can be moved and styled using options such as border or background color.
Article tags do not automatically appear on every existing custom article layout. Check the layout for the Article Tags asset if tags are missing from an article page.
Keep tags relevant to the right audience with Scoped Tagging
The same topic may mean different things in different parts of your community. Scoped Tagging helps you keep the tag experience focused by controlling where a tag is available.
For example, you might make a Mobile App tag available in one product Knowledge Base and its related subcommunity, while keeping it out of unrelated spaces. Members are more likely to find useful related content, and admins can build a clearer content structure without creating duplicate tags for every audience.
Article Tagging works with scoped tags for:
- Knowledge Bases
- categories
- subcommunities
Scopes can be mixed. For example, a tag can be available in one Knowledge Base and one subcommunity, or in a Knowledge Base and a category.
Admins can manage this from Manage Tag Settings. From a tag card, open the three-dot menu and select Manage Tag Settings.
